Don’t Save The Desktop in QuickBooks

You can tell QuickBooks to clear all open windows when you close a company or shut down QuickBooks, which will allow QuickBooks to open faster (and produce fewer errors). Using the Don’t Save the Desktop option tells QuickBooks to ignore the state of the desktop when closing a company, so that when you next open the company file the desktop will have no open windows.

  1. Choose Edit | Preferences from the QuickBooks menu bar.
  2. Click the QuickBooks Desktop View icon on the left pane and then click the My Preferences tab.
  3. Select the Don’t Save The Desktop option.

Change Check Date When Check is Printed in QuickBooks

This option determines the date that appears on checks you print in QuickBooks. This feature is useful because you always want the check date that appears on the check to be the actual date on which you printed the check, not on the date that you created it. For example, you may create direct disbursement checks every Monday, but  wait until later in the week to print and mail the checks. If this option is disabled in QuickBooks, all the checks you print will display Monday’s date. To enable the option to change the check date in QuickBooks:

  1. Choose Edit | Preferences from the QuickBooks menu bar.
  2. Click the QuickBooks Checking icon on the left pane and then click the Company Preferences tab.
  3. Check the box Change Check Date When Non-cleared Check Is Printed.

Multiple Bank Accounts in QuickBooks

If you use multiple bank accounts for your business, QuickBooks lets you preselect which bank account to use to write checks, pay bills, pay sales tax, or to make deposits. Setting this up in advance makes it unlikely that you will use the wrong account for the wrong task. To choose which default accounts to use:

  1. Choose Edit | Preferences from the QuickBooks menu bar.
  2. Click the Checking icon on the left pane to open the QuickBooks Checking preferences, and click the My Preferences tab.
  3. Check each QuickBooks activity (Write Checks, Pay Bills, Pay Sales Tax, Make Deposits) for which you want to preselect a bank account.
  4. To the right of each QuickBooks activity that you have checked, use the pull-down menu to select which bank account to use.

Date Warnings in QuickBooks

You can configure QuickBooks to display a warning if you enter a transaction that is a certain number of days in the past or future. Most of the time the warning appears because a user made a typo when entering the date. If the incorrect date is allowed to remain in your books, it affects reports. To configure QuickBooks to display the warning:

  1. Choose Edit | Preferences from the QuickBooks menu bar.
  2. Click the Accounting icon on the left pane to open the QuickBooks Accounting Preferences, and click the Company Preferences tab.
  3. Choose the Date Warning Range you want for past dated transactions and future dated transactions (QuickBooks sets the default warnings at 90 days in the past and 30 days in the future) and check both boxes.
